Ƶ’s Event Fundraising Terms & Conditions

Purpose.These Terms & Conditions (“Terms”) apply to supporters (“you”,“participant”) who take part inthird-partyrunning and challenge events to raise fundsin aid ofƵ’s(reg charity number1149085). They are designed to keep you, the public, and StMungo’ssafe and compliant.

By registering fora Ƶ’sEvent, you are agreeing to the below terms and conditions.

  1. If you are taking part in an activityorganised by external event organisers:By fundraisingforƵ’s,you also agree tocomply withthe event organiser’s own terms,conditionsand deadlines. Failure to complete theeventorganiser’s registration in time can lead totheloss of your place and your Ƶ’s registration feeremainsnonrefundable.
  2. If you receive aƵ’s charity place, you pledge to raise at least the minimum sponsorship for that event (excluding Gift Aid and registration fees). If you have yourown place, there is no minimumpledge,but you agree to raise what you can.
  3. Entry to the Event is subject to the payment of the notified fee (and any applicable VAT) payable toƵ’sprior to participation in theevent.
  4. Any Ƶ’s registration fee (where applicable) isnonrefundableandnontransferableand does not count towards your fundraising target.
  5. You must meet theeventorganiser’s minimum age(where applicable)and confirm that, to the best of your knowledge, you are fit toparticipate; you take part at your own risk.
  6. If you have a medical condition or are unsure of your physical ability to take part in the event, you must seek medical advice from a general practitioner prior toparticipatingin the event.
  7. Ƶ’smay prevent any Participant from taking part in the Event (either at the start of or during the Event) ifƵ’s, the external event provideror any medical representative considers that a Participant should notparticipatein the Event for health and/or medical reasons. 
  1. As an independent supporter, you are fundraisingin aid ofƵ’s (you do notrepresentthe charity). You must not do anything that could bring the charity into disrepute.
  2. You agree to fundraise legally and safely, following relevant guidance (e.g., local licences for collections/raffles, H&S risk assessments, and the Fundraising Regulator’s Code of Fundraising Practice).
  3. Youare responsible forobtaining any licences required (street collections, raffles/lotteries, alcohol/entertainment) and for ensuring suitable insurance where needed. Ƶ’s insurance doesnotcover your independent event.
  4. Before using our name or logo or producing your own branded materials,a written request must besubmitteda minimum of 5 working daysof required usage. Ƶ’s will require a minimum of 5 working days to respond.Please contactevents@mungos.org
  5. For any independent fundraising events that you carry out to raise funds (for example a cake sale or pub quiz), you acknowledge that you are carrying such events out in your own capacity.It’syour responsibility to organise all aspects of such event and make it clear that such event is run by you ‘in aid of’Ƶ’sand is not run byƵ’s. You also agree to make it clear that such event is not ‘on behalf ofƵ’s’ and thatƵ’swill not accept any responsibility or liability for such event.
  6. You commit to return any unusedƵ’sfundraising materials, including sponsorship forms, toƵ’son completion of your fundraising activities.
  7. If you collect personal data (e.g., sponsors’ details), you must handle it in line with data protection law and only for lawful,statedpurposes.
  8. Gift Aid is a valuable bonus for the charity butdoes not counttowardminimumfundraising targets or milestone checks.
  9. By accepting a Ƶ’s charity place, you agree to raise at least the event’s minimum sponsorship (excluding registration fee and Gift Aid). Charity place participants may have their place withdrawn for failure to engage with registration or fundraising obligations.
  10. You acknowledge that failure to respond to communications fromƵ’sCommunity & Events team about completing your registration or fundraising may put your event place at risk.
  11. Ƶ’s uses reasonable fundraising checkpoints to ensure places are actively stewarded. Ƶ’s sets the following default milestones (unless your welcome email states otherwise).
  12. Failure to meet any of theFundraising standards & conductstandardsmay resultlosing your event place or opportunity tofundraise for Ƶ’s.

Fundraising Targets

Failure to meet milestones.If you are behind schedule to achieve your planned fundraisingpledge for your specific event,pleasecontact Ƶ’simmediatelyso we can agree a plan. We reserve the right to withdraw a charity place where there is no reasonable prospect of meetingfundraisingobligations.

  1. Deferrals may be possible at our discretion and/or the organiser’spolicy, butcannot be guaranteed.As standard we will refuse deferralsrequestedwithintwo months of the race date.Registration fees are not refundablefor any deferrals.
  2. All deferral requests must be communicated in writing by emailing events@mungos.org and it will be at the discretion ofƵ’sif you are successful as per our deferral policy.
  3. All successful deferral applicants will not be refunded theirFee,however their fundraising can be transferred to their new event date. All deferral applicants will need to repay their Fee for their new event date. Please be aware the cost of the Fee mayincrease,and you are obliged to pay the updated Fee cost.
  4. You will be able to carry over 100% of your fundraising into your deferred years target
  5. If you do notparticipateor contact usregardinga deferral, sponsorship already raised will be treated as donations to Ƶ’s unless your donors request refundsby emailingevents@mungos.org.(Anonymous donations cannot be returned.)
  6. If an organiser cancels or alters the event, we will support you to consider transfer/deferral options where available, but Ƶ’s is not responsible for external event delivery.
  7. If you have notcompleted the external event organiser’s registration (console)two weeks prior to theregistrationdeadline date, Ƶ’s reserve the right toremove your charity place.

Event photography may take place during this event. Ƶ’s may wish to use photographs or video footage of adult participants for future promotional and marketing materials.This includes on Ƶ’s andthird partywebsites, online and print media publications and other marketing materials.If you do not wish to be included in event photography, please speak to a member of the Events team on the dayor emailevents@mungos.org.

  1. In law, you act as a trustee of the funds you raise. All donations must be passed to Ƶ’s promptly; if anyportioncovers event costs, you must make this clear to donors in advance.
  2. Unless specified differently for your event, please send all funds to Ƶ’swithin 4–6 weeksafter event day (online fundraising platforms are encouraged).
  3. Follow sensiblecashhandlingpractices; use locked tins/buckets, bank funds promptly, and put personal safety first.
  1. You are responsible for training appropriately and for your own health and safety while training and on event day. Follow all official instructions. 
  2. Where you organise additional activities (e.g., music socials / mass participation events), ensure a basic risk assessment and appropriate first aid measures.  
  1. You acknowledge participation involves risk and agree that Ƶ’s is not liable for injury, loss or damage arising from your participation, except where the law does notpermitsuch exclusion (e.g., negligence). External organisersare responsible forthe delivery and safety of their events.
  2. Ƶ’s insurance does not cover independently organised supporter activities; considerappropriate coverif your activities require it.
  1. Ƶ’s will contact you with essential event and fundraising information and, where necessary, sharing your name and email with the event organiser to complete your entry; data will be processed per our privacy policy.
  2. Ƶ’swill use the information provided by Participants to manage the Event and the Participant’s involvement in it.Ƶ’swill keep the Participant up to date withƵ’sactivities or provide any other informationin accordance withtheir stated preferences.
  3. We will take all stepsreasonably necessaryto ensure that Your data is treated securely andin accordance withourprivacy notice.

Ƶ’s is committed to legal, open,honestand respectful fundraising. Please contact us if you have concerns about conduct at events or by any third parties.

By ticking “I agree” in a sign-up form for event fundraising, you confirm:

  • I’mfundraisingin aid ofƵ’s and will act legally,safelyand respectfully.
  • I understand I take partat my own riskand that Ƶ’s is not liable forthird-partyevent delivery.
  • If I hold acharity place,I’llmeet theminimum sponsorshipand the25% / 50% / 100%milestones or will contact Ƶ’s early ifI am unable to meet them as outlined.
  • I consent to Ƶ’s sharing my contact details with the event organiser solely to administer my entry.
